The search for capital planning software usually starts when the capex spreadsheets stop coping. Requests arrive in different formats, approvals get chased over email, and nobody can say with confidence how much capital is committed right now.

Moving off spreadsheets is worth the effort. According to McKinsey, a digitally enabled capital-investment-management system improves both financial results and the quality of decisions, and organisations that build one can see project and portfolio NPV rise by well over 10 percent within a year.

Finding the right system is the hard part. A typical online list of the best capital planning software puts capex software side by side with a construction planning tool, an FP&A platform, a facility management system and a public-sector budgeting tool. Each of them was built for a different purpose.

So the first question is what you need the software to do. Then you can compare vendors on how well their software meets those needs.

Know the categories

Which type of capital planning software do you need?

Capital planning software helps an organisation decide which capital investments to fund, in what order and within what budget, usually over several years. It sits between long-term capital strategy and the approval of individual projects, and ends in an approved capital plan. The trouble is that vendors use the term loosely, and search results mix it with capex software, capital project management software, FP&A tools and ERP modules. Each type answers a different question and is used by different people in your organisation. The table below shows which.

Capex software vs capital planning software: what is the difference?

Capex software and capital planning software differ in focus. Capex software is about control: are your requests, approvals, spend and actuals against the approved budget in one place, and can you trust the numbers? Capital planning software is about deciding where capital goes: across the whole portfolio, are you funding the investments that serve your strategy best? Purpose-built capex software, meaning software made for capex rather than an FP&A, ERP or project tool with a capex module added on, often covers both.

In the capex lifecycle, planning comes first. When organisations bring in software, most start with control, for a simple reason: a portfolio decision is only as good as the data underneath it. Control first. Then the harder question of where capital should go.

Everything downstream depends on how requests come in. If every site uses its own template, your controller spends the first weeks of each cycle rewriting business cases into one format before anyone can compare anything. And the request that wins is often simply the best-written one.

At group level, a capital budget is where two numbers meet. Leadership sets the envelope from the top. Sites and business units bring their demand from the bottom. The gap between them gets closed somehow, often in a spreadsheet over several rounds of email, and afterwards it is hard to say who cut what, and why. Capital budgeting software closes that gap and keeps a record of every decision along the way.

Consistent evaluation and prioritisation

What is capital planning software?

What is capex software?

Is capital planning software the same as FP&A software?

They overlap only at the edges. FP&A software plans the whole financial picture: P&L, balance sheet, cash flow and headcount. The FP&A platform sets how much capital the company can afford to spend, and the capital planning software decides where it goes.

Can capital planning be run in Excel?

Yes, and most organisations start there. Excel works while one person owns the file and the portfolio is small. It starts to break when requests come from many sites, approvals run over email and actuals are copied in from the ERP, because version control, audit trail and consolidation then depend on individual discipline. That is usually the moment organisations move to purpose-built capex software.
