What it does
Approval is where capital governance is either real or theoretical. Weissr makes the rules you have already written execute themselves.
Value, investment type, entity, site and risk determine the approval path automatically, removing the need to decide manually who signs next.
Requesters cannot approve their own investments, and delegation is time-boxed, logged and visible to the approver being covered.
Every request is matched against its allocation pool, so approvers see remaining budget at the moment of decision.
Requests approaching a decision deadline escalate automatically, so investment timing is never lost to an unopened inbox.
Approval is captured inside the system with legal attribution, replacing separate signing tools and emailed PDFs.
Every version of the business case and every decision on it is preserved and retrievable years later.
The capital expenditure approval process
A structured approval process is faster than an informal one, because nothing waits for someone to work out what should happen next.
Requesters complete a form shaped to the investment category, such as maintenance, compliance, growth or strategic. Required financials, assumptions, alternatives considered and supporting documents are enforced at submission, which removes the most common cause of approval delay: an incomplete case going back and forth.
The system links the request to its allocation pool and to the strategic objective it serves. Available budget, planned timing and strategic contribution are shown alongside the request, so approvers judge it in context rather than in isolation.
Your delegation-of-authority rules are configured once. Each request is evaluated against them and the approval chain is generated for that request, including additional technical, legal or HSE reviewers where the category requires them.
Approvers review the complete business case, the sensitivity of its assumptions and how the request affects the remaining envelope. They can approve, reject, or return the request with comments that stay attached to its history.
On final approval the amount is committed against the budget, the capital project is created or updated in the ERP, and execution tracking begins against the approved baseline.
A supplementary request or scope change is assessed against the original approval. If the revised total crosses a higher authority threshold, the request routes upward automatically rather than being absorbed quietly at site level.

Capex approvals
Capex approval software is a system that receives capital expenditure requests, routes them automatically to the correct approvers based on value, category, site and risk, and records every decision in an auditable trail. It replaces the combination of spreadsheets, email approvals and separate signing tools that most capital-intensive organisations still rely on. Because the system understands the financial content of each request, it can check available budget and strategic fit at the moment of decision, then turn an approval into a funded commitment in the ERP without re-keying.
In Weissr, capex approval is a capability of Weissr Capex Management, not a separate product. The platform has three modules: Capex Strategy, Capital Budgeting and Capex Management. Approvals run inside the third, which is why an approved request carries its budget, business case and authority trail with it.
Approval authority is configured once as a delegation-of-authority matrix. Each request is evaluated against thresholds such as investment value, investment type, legal entity, site and risk classification, and the system builds the correct approval chain automatically for that specific request.
A generic workflow tool routes a document between people. Capex approval software also checks the request's business case, the budget it draws from and its underlying assumptions, so approvals are validated against available budget and strategic fit rather than only signed off in sequence.
Yes. Requests are linked to the approved capital budget and its allocation pools, so a request that would exceed the remaining envelope is flagged before it enters the approval chain rather than discovered afterwards.
Every submission, comment, revision, approval, rejection and delegation is time-stamped and attributable to a named user. The full history of a request, including superseded versions, remains retrievable for audit and post-investment review.
Approved requests can create or update the corresponding capital project and commitment records in SAP, Oracle, IFS or another ERP, and actual spend flows back so the approved amount and realised cost stay reconciled without manual re-entry.
We will map your delegation-of-authority rules and show how requests would route through them.
